At Reuse Medical Equipment, customer satisfaction is important to us. We specialize in professionally inspected, pre-owned medical equipment, replacement parts, and accessories. Every item is carefully evaluated before shipment; however, if you are not completely satisfied with your purchase, we are committed to resolving the issue promptly and fairly.

This Return & Refund Policy applies to purchases made directly through reusemedicalequipment.com. Purchases made through eBay, Amazon, or other third-party marketplaces are subject to the return policies of those respective platforms.

Our Commitment

If your order arrives defective, damaged during shipping, dead on arrival (DOA), materially different from the product description, or the wrong item was shipped, Reuse Medical Equipment will, at our discretion, repair the item, replace the item, provide a comparable replacement, or issue a full refund. When the error is ours, we will provide a prepaid return shipping label whenever practical.

Return Windows

Return windows are set on a per-listing basis. The applicable return period — 30 days or 7 days — is stated on each individual product listing at the time of purchase, and that listed window governs the transaction. As a general guide, equipment is typically categorized as follows, but the product listing always controls.

Typically 30-Day Return Items

Most standard medical equipment is listed with a 30 calendar day return window. Examples include:

  • Patient monitors & vital signs monitors
  • Infusion pumps
  • Surgical equipment
  • Dental equipment
  • Laboratory equipment
  • Medical carts & imaging accessories
  • Biomedical equipment

Typically 7-Day Return Items

Certain parts, electronics, and specialty components are listed with a shorter 7 calendar day return window because they are highly sensitive, easily damaged during installation, and often impossible to verify once installed. These include, but are not limited to:

  • Circuit boards, PCBs & control boards
  • Electronic modules & specialty electronic assemblies
  • X-ray detectors & ultrasound probes
  • CCD cameras
  • Power supplies & LCD displays
  • OEM replacement parts
  • Items sold as “Parts Only”
  • Custom-ordered or special-order items (unless otherwise stated)

For items in the 7-day category, return requests must be initiated within seven (7) days of delivery unless the listing states otherwise.

These lists are provided as examples only. The controlling return window for any purchase is whatever is stated on that item's specific product listing — not the general category above. If a listing does not specify a return window, the standard 30-day period applies.

Non-Returnable Items

The following items are not eligible for return unless received damaged or incorrectly shipped:

  • Sterile products once opened
  • Single-use disposables & patient-contact consumables
  • Opened sensors, probes, tubing, masks, and electrodes
  • Batteries (unless DOA)
  • Software licenses & digital downloads
  • Calibration services & installation services
  • Equipment modified after delivery
  • Items sold “As-Is” where clearly disclosed
  • Hazardous materials & biohazard-contaminated equipment

For patient safety and regulatory reasons, opened sterile products, single-use disposables, consumables, electrodes, tubing, sensors, probes, masks, and similar items cannot be returned once the original packaging or sterile seal has been opened, except where required by law.

Data, Software & Storage Media

Certain equipment may have hard drives, storage media, passwords, licenses, software, accessories, or proprietary data removed prior to sale. These items are described in the product listing and do not constitute a defect or reason for return if disclosed before purchase.

How to Request a Return

Do not return any item without first obtaining a Return Merchandise Authorization (RMA). Returns received without an approved RMA may be refused.

After approval, your RMA number must be clearly displayed on the outside of every package.

Buyer Responsibilities

To qualify for a refund, buyers should:

  • Inspect the shipment immediately upon delivery
  • Verify the item matches the order
  • Report shipping damage within 5 business days of receipt whenever possible
  • Notify Reuse Medical Equipment of missing accessories promptly
  • Retain the original packaging whenever possible

Freight Shipments

Freight shipments must be inspected before signing the carrier's delivery receipt. If visible damage exists, note the damage on the delivery receipt and photograph both the packaging and equipment before unpacking. Failure to report freight damage promptly may affect the carrier's ability to honor a shipping claim.

Return Conditions

Returned equipment must:

  • Be in the same condition received
  • Not be modified or disassembled beyond normal inspection
  • Include all accessories originally supplied
  • Include manuals, cables, and adapters when applicable
  • Be properly packaged to prevent shipping damage

Returns showing misuse, abuse, improper installation, liquid damage, unauthorized repair attempts, or physical damage not present at shipment may be denied.

Who is responsible for return shipping depends on the reason for the return:

Restocking Fees

For buyer-initiated returns, a restocking fee of up to 25% may apply. The fee helps offset biomedical inspection, functional testing, cleaning, inventory processing, re-certification, and administrative costs.

No restocking fee applies when:

  • We shipped the wrong item
  • The product was defective
  • The product was damaged during shipment
  • The item materially differed from its description

Additional deductions may apply if returned items are damaged, incomplete, or missing accessories. Original outbound shipping charges are non-refundable except where the return results from our error.

Refund Processing

After receiving your return, our biomedical technicians will inspect and evaluate the equipment. Inspection generally takes 3–5 business days.

Approved refunds are issued to the original payment method within 5–7 business days. Financial institutions may require additional processing time before the credit appears on your statement.

If a return is denied, we will provide an explanation and photographs if applicable. Denied items may be returned to the customer at their expense or held for up to 30 days awaiting instructions.

Exchanges

If inventory is available, Reuse Medical Equipment may replace defective equipment with the same model, a compatible equivalent, or a comparable upgraded unit (at our discretion).

Warranty Claims

Unless otherwise stated in the product listing, eligible pre-owned medical equipment includes a minimum 30-day functional warranty beginning on the date of delivery. Some products may include longer warranty periods, which will be identified on the individual product page.

Warranty claims follow the same RMA process described above.

International Orders

International shipments require additional handling due to customs regulations, import laws, and transportation logistics. Unless the return results from our error, international buyers are responsible for return shipping costs, customs duties, import taxes, export documentation, brokerage fees, VAT or GST charges, and any fees assessed by customs authorities. Original shipping charges are non-refundable for international orders.

Because many countries have medical device import restrictions, buyers are responsible for confirming that purchased equipment may legally enter their country before ordering. Reuse Medical Equipment cannot reimburse shipping expenses, customs fees, or import taxes resulting from customs delays, import refusals, or government restrictions beyond our control.

Before returning an international order, customers must contact us so we can provide the correct return address, customs declaration instructions, and required documentation. Any refund issued for an international return will be based on the original purchase price of the product only, less any applicable restocking fees or shipping deductions, unless the return is due to our error. International orders are eligible for the same 30-day or 7-day return windows described above, measured from the date of delivery.

Medical Equipment Notice

Medical equipment should always be inspected by qualified personnel before being placed into clinical service. Transportation, installation, storage, and environmental conditions may affect equipment performance.

Reuse Medical Equipment recommends that all equipment undergo appropriate biomedical inspection, electrical safety testing, functional verification, calibration (where applicable), and preventive maintenance in accordance with the manufacturer's recommendations and the receiving facility's policies before patient use. Returned medical devices may require biomedical inspection, calibration, preventive maintenance, or certification before being placed back into clinical service.
